Ridgeview Financials, LLC ("Ridgeview," "we," "us") provides fractional CFO services to a small number of client businesses. This policy explains what information we collect, how we use it, and the choices you have. It covers this website and the Ridgeview Dashboards application, including the QuickBooks Online data that application accesses on behalf of our clients.
1. Who this applies to
This policy applies to visitors of ridgeviewfinancials.com, to our clients and their authorized users of Ridgeview Dashboards, and to the business data our clients make available to us in the course of an engagement. Ridgeview Dashboards is a private application offered only to Ridgeview's clients; it is not available to the public and is not listed on any app marketplace.
2. Information we collect
Website. If you contact us through the site, we collect the name, email address and message you provide. The site does not use advertising trackers. Our hosting provider records standard server logs (IP address, browser type, pages requested) for security and reliability.
Ridgeview Dashboards accounts. To sign in, we collect your email address and keep a record of sign-in times. Sign-in uses a one-time link sent to your email; we do not store passwords.
Client financial data. As part of an engagement, and with the client's written authorization, we access the client's accounting records. When a client connects QuickBooks Online to Ridgeview Dashboards, the application reads the following from that QuickBooks company on a scheduled basis: general ledger transaction detail (dates, accounts, amounts, classes, customer and vendor names, memos), the chart of accounts, customer and class lists, and company information. The application reads data only. It does not create, modify or delete anything in QuickBooks.
3. How we use information
- To deliver the financial reporting, analysis and advisory services the client has engaged us for.
- To build and display the client's dashboards in Ridgeview Dashboards, including profit and loss, budget-versus-actual and client revenue analytics.
- To operate, secure and troubleshoot the application, including keeping a log of each data refresh.
- To respond to inquiries and communicate about an engagement.
We do not sell personal or financial information. We do not use client data to train models, to market to a client's customers, or for any purpose unrelated to the client's engagement. We do not share one client's data with another client.
4. QuickBooks Online and Intuit
Ridgeview Dashboards connects to QuickBooks Online through Intuit's developer platform using OAuth 2.0. The client, or Ridgeview acting under the client's accountant access, authorizes the connection from within QuickBooks. Intuit issues access credentials that we store encrypted and use solely to perform the scheduled reads described above. Our use of Intuit's platform is subject to Intuit's developer terms. A client can disconnect the application at any time from the Apps section of their QuickBooks Online account or by asking us; disconnecting revokes our access immediately, and we delete the stored credentials.
5. Where data is stored and how it is protected
Application data is stored in a managed PostgreSQL database hosted by Supabase in the United States, with encryption in transit and at rest. Each client's data is isolated by database-level row security so that a user can only ever read their own organization's records. Credentials for third-party services are kept in an encrypted secrets store, never in application code. Access to production systems is limited to Ridgeview personnel who need it to serve the client. No method of storage or transmission is completely secure, and we cannot guarantee absolute security, but we apply controls appropriate to financial data.
6. Service providers
We rely on a small number of providers to run the application and this site: Supabase (database and authentication), Vercel (application hosting), Netlify (website hosting), Google (email and, where a client chooses, Google Sheets for budget inputs) and Intuit (QuickBooks Online). Each processes data only as needed to provide its service to us and under its own privacy and security commitments. We do not use any other third-party analytics or advertising services in the application.
7. Retention
We keep client financial data for the duration of the engagement and, after it ends, for as long as needed to meet our professional and legal obligations, generally no more than seven years for working papers. Dashboard data is deleted within 30 days of a client's written request or the end of an engagement, whichever the client prefers, except where retention is required by law. Website contact messages are kept only as long as needed to respond.
8. Your choices and rights
- Access and correction. Clients can ask for a copy of the data we hold about their organization or ask us to correct it.
- Deletion. Clients can ask us to delete their dashboard data and disconnect QuickBooks at any time.
- Users. A client controls which of its people have dashboard access and can ask us to add or remove users.
Email requests to spencer@ridgeviewfinancials.com. We will respond within 30 days.
9. Children
Our services are for businesses. We do not knowingly collect information from anyone under 18.
10. Changes to this policy
If we make material changes, we will update the date at the top of this page and notify active clients by email.
